Cirqle ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use getcirqle.ai and our related services.

1. Information we collect

We collect the following types of information:

• Account information — your email address and password when you create an account
• Gmail data — when you connect your Gmail account, we access your email threads to identify your professional contacts. This includes header metadata (sender and recipient names, email addresses, dates, and frequency of communication) and a short preview snippet of each message. We access the full text of a message only when you open its conversation thread in the app (to display it back to you) or to improve the accuracy of a contact's name; we do not store the full body content of your emails.
• Contact data — names, email addresses, job titles, companies, and notes you add or that are automatically imported from your Gmail metadata
• Usage data — how you interact with the app, including follow-ups logged, contacts added, and features used

2. How we use your information

We use the information we collect to:

• Provide and improve the Cirqle service
• Automatically identify and import your professional contacts from Gmail metadata
• Generate AI-powered follow-up drafts based on your contact history
• Send you weekly relationship digests and follow-up reminders
• Communicate with you about your account and our service

3. Gmail data usage

Cirqle's use of data accessed from your Gmail account complies with the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

• We access email header metadata and a short message preview (snippet) to identify your professional contacts and provide context for follow-up suggestions
• We access the full text of a message only when you open its conversation thread in the app (to display it back to you) or to improve the accuracy of a contact's name; we do not store the full body content of your emails
• We never use your Gmail data for advertising or to train AI models
• We never share your Gmail data with third parties except as necessary to operate the service
• You can revoke Gmail access at any time through your Google account settings or through Cirqle's settings page

4. Data sharing

We do not sell your personal data. We may share your information with:

• Service providers — trusted third parties who help us operate our service, including Resend (email delivery) and Anthropic (AI features). These providers are contractually bound to protect your data.
• Legal requirements — if required by law or to protect our rights

5. Data retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal purposes.

6. Data security

We implement industry-standard security measures to protect your information, including encrypted storage and secure HTTPS connections. However, no method of transmission over the internet is 100% secure.

7. Your rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Revoke Gmail access at any time
• Export your contact data
